Episode Summary:
Ever find yourself mid-conversation or deep into a project and your brain just… stops? That frozen moment usually has nothing to do with your skills or creativity and everything to do with the invisible to-do list running in the background of your mind. From client work to admin tasks, personal projects, and future goals, those mental tabs add up fast. In this conversation, I’m sharing how I recognize the signs that my brain is hitting overload, the real impact it has on creativity and productivity, and the simple ways I lighten the load so I can focus on what matters most.
What I hope you take away from today's episode...
- Your invisible to-do list is normal, but it does not have to run the show
- Overload kills focus, drains creativity, and fuels decision fatigue
- The more you externalize your thoughts, the less mental energy they take up
- You do not need more tools, you need the right one that works for you
- A brain dump can be the fastest path to mental clarity and renewed focus

Hello and welcome to The Solo Grind. I’m Teresa Schlup, your host. I’m a branding essentials and web designer who works with solo entrepreneurs to help them show up with clarity and authenticity online.
Today’s episode was inspired by a brain blip. Yep, that’s right — a brain blip on my part.
Here’s what happened. The other day I was recording an episode with one of my upcoming guests. We were in the middle of one of those really good conversations, you know the kind where you’ve just made a point that’s going to hit home for your audience and suddenly, I completely blanked. My brain froze. Total stop. I couldn’t move forward.
Why? Because my brain was juggling that invisible, never-ending to-do list.
At that moment, I was thinking about the other episode I’d recorded earlier in the week. I was thinking about the emails I needed to write, the marketing plan waiting for me, and even a painting project I’ve been working on in my house. Work things, home things they were all swirling around in my head at the same time. Eventually, my brain just tapped out.
That invisible to-do list takes over so much mental space. The funny thing is, it’s supposed to help us be productive… but instead, it can be one of the biggest reasons we stall out.
What’s Filling Up That Invisible To-Do List?
For me, it usually falls into five buckets:
- Client Work – Remembering project details, follow-up emails, check-ins, client challenges, new ideas for solving problems all of it.
- Admin & Logistics – Renewal dates, software updates, paying bills, meeting deadlines… basically the drudgery work that’s necessary but not exciting.
- Marketing – Not just showing up, but deciding when and how to show up, engaging with people, and nurturing those relationships because that’s what fuels future business.
- Dreams & Future Goals – The “someday” projects. New ideas that I want to explore or expand into, even if they’re not ready for today.
- Personal Life – House projects, appointments, family plans, things with my husband, the pets, planning trips… all the things that have nothing to do with work but still take up brain space.
How It Hurts Your Productivity
When you’ve got all those mental tabs open, it’s like working on a computer with 20 browser windows going at once. At some point, you just have to close everything, take a breath, and start over.
This invisible to-do list can make you feel less productive, even if you’ve been working all day. It fuels decision fatigue suddenly, things that used to be quick decisions take twice the energy. It can drain your creativity, just like we talked about a few episodes ago when we covered losing your spark.
And of course, it adds to the anxiety we all carry as solo entrepreneurs. Even if you’re not stressed about the direction of your business, that mental chatter keeps you on edge.
How to Lighten the Load
The first thing I want you to know... you are not alone. This happens to everyone, whether they’re entrepreneurs or not. It’s normal. And it’s fixable.
One thing I do every day is make a plan for the day. I actually start this at the end of the day before, when the priorities are fresh in my mind. In the morning, with coffee in hand, I finalize it.
Here’s how I lay it out:
- Start with self-care. It goes on the list first because nobody else is going to take care of you.
- List my top 1–3 work priorities. These are the must-do items.
- Add bonus tasks. If everything flows smoothly, what could I get ahead on?
- Save admin tasks for last. Because if I start there, I’ll stay in admin mode all day.
When That’s Not Enough
Sometimes even with my day planned out, my brain won’t let go. That’s when I pull out the big guns... a brain dump.
I grab a notebook or even one of those giant presentation-sized Post-it pads and start writing everything that comes to mind. No rules, no editing. Everything gets written down, no matter how small or silly.
Once it’s all out, I can:
- Cross off anything that truly doesn’t matter
- Identify the things for later and put them in the future
- Spot the true priorities and schedule them into my calendar
The key here is actually scheduling the big items so they stop taking up mental space.
A Quick Warning
When we start getting organized, it’s tempting to go overboard, multiple planners, multiple apps, endless color-coded systems. That’s just another form of procrastination. Pick the one tool that works for you and stick with it.
That’s what works for me to calm down that invisible to-do list, get my brain back in focus, and stop feeling like I’m running in 10 different directions at once.
