Welcome back to The Solo Grind! If you’ve been following along this month, we have been talking about LOVE. Love for ourselves, our business, and the life we are building. And today we are going to round off the conversation by talking about love for our clients. After all without them–we don't have a business.
First, I want to share a little story… 29 years ago yesterday, my BFF married the love of her life. And interestingly enough, it is her wedding dress that inspired today's episode.
This wedding dress was straight out of a bride's dream. We are talking intricate beadwork, lace, and a detachable train. I honestly don't think the fairy godmother in Cinderella could have designed and created a more beautiful gown.
But Crystal's mama, Leona, made it. She stitched every inch of that dress and added every bead by hand. You could see the love Leona had for her daughter in every tiny detail of that dress. And Crystal felt the love.
As a solopreneur there is only so much you can do.
It's lovely to think that you can have a gorgeous website, on point social media marketing that never fails, invitations to speak at the best events and podcasts, all while fixing home cooked meals for the family every night and taking walks on the beach because you have nothing time on your hands.
The reality... you often have to pick what gets your time, focus and energy
Will I be fine tuning to website this week... month... year, or is good enough that I can turn my focus to social media?
Will I create those reels that have been on my to-do list since January 1, or am I updating my welcome packet?
Will I be working through the weekend (again...) or am I really going to have that coffee date I've been promising my husband.
It's all a juggling act, and sometimes it can be a challenge knowing just where to put your time. And one area that I see get overlooked the most is the client experience.
Sometimes we are so busy we don't even think about the client experience.
We feel that we are offering them a good service for a fair price and that is all we really need to work about. But what if I told you that creating a great client experience is the single most important thing you can do to grow your business? What if I could show you undeniable facts that your business would grow by leaps and bounds? Would you give a little more time and attention?
I imagine you would, and while I cannot make those guarantees for you, I can tell you this...
- A happy client isn’t just a client—they’re a walking, talking referral machine.
- Your dream clients aren't looking to simply buy a product or service—they want to feel like it was the RIGHT decision for them.
- The best marketing has nothing to do with clever campaigns, algorithms and huge budgets—it’s what people naturally share because they love their experience.
So in this episode, we are going to take an up close and personal look at the client experience, starting off with...
- What “client experience” actually means (Hint: It’s more than just being nice)
- Why small details matter and how they create a lasting impression
- How to turn your process into something clients love—so they rave about it and YOU!
- The key touch points in the client process and how you can enhance their experience
- The difference between “just another service” and a business people can't wait to recommend
1. First Impressions Matter More Than You Think
The relationship you are building with your dream clients begins before they ever reach out and connect with you. Their initial discovery of you, the time they spend on your website, and even the experience they have in reaching out and connecting the very first time are all part of that relationship, and if any of those don't go well, you don't have a new client.
Every single touchpoint matters because it sets the tone for what it is like to work with you.
Ask yourself: What’s kind of impression do I make in my online world?
- Do I come across as warm, welcoming and inviting?
- Do my dream clients feel seen, heard, and validated?
- Do I make it easy to connect?
- Are the steps they have to take to connect simple and easy?
- Are my automated communications warm and engaging or cold and transactional?
Don't worry if this isn't the case today. This is actually a pretty easy thing to fix.
Make a stellar first impression by fine tuning these touch points
- Review your messaging (website, emails, social media) and make sure that it sounds like the real you.
- Make sure that your BEST method of contacting you is no more than 2 clicks away.
- Make your inquiry form or booking process effortless. Seriously if it takes more than a second or two to take action you are missing an opportunity to stand out.
- No robotic emails. Send a personalized response, one that is grateful, clear and set expectations.
- Follow up as needed. This could be friendly reminder emails about an upcoming appointment or a personalized message answering their questions.
Don't wait until you need these things...
I recommend reviewing your automated processes a few times a year. This is a great task when business is light! I also recommend creating a bank of emails that you can quickly use for responding to the inquiries you hear all the time, but can't automate well.
Finally I recommend you go through the process yourself. I guarantee if you are confused or overwhelmed even just a tiny bit, your dream clients will be confused and overwhelmed even more. To test... tweak... test again... until the process feels like a warm hug.
2. The Experience During the Project or Service
Believe it or not, this is often where many of us either shine or fall flat. Once you've booked a new client, the work in keeping them happy is honestly just beginning. Your dream clients–the ones that are going to rave about you–want more than just a service—they want to feel supported, valued, and understood.
They want to feel that saying "Yes" to you was one of the best decisions they have made.
Ask yourself: How do clients feel while working with me?
- Do they feel like a priority, or just another name on my calendar?
- Have I set clear expectations and am I meeting those expectations?
- Am I proactively communicating, or do they have to chase me down for updates?
- Do they feel seen and heard, or am I just checking boxes so I can get to the next thing?
- Do I listen when the voice concerns before firing off a response?
Build a solid foundation for the client relationship by...
- Doing regular check-ins. This could be emails, quick voice memos or a phone call. Just keep them informed so they never feel in the dark.
- Make it a habit to reach out personally. Start off email communications with a warm friendly greeting. If there are periods of time during the process where you don't need to communicate, find another way to reach out so they know you haven't forgotten them.
- Make things easier for them. What are some ways you can simplify their journey? Can you outline options to help them make better decisions? Can you make a quick call to address questions and concerns rather than emailing back and forth 100 times. Can you anticipate their needs?
3. The “Wow” Factor: Going Beyond the Expected
The WOW factor you offer is an opportunity for you to really stand out among your competitors, and no matter how someone may try, no one can deliver the WOW quite like you. People don’t remember average experiences—they remember the bad experiences and the moments that surprised and delighted them.
Ask yourself: How can I add small touches that make a big impact?
- A handwritten thank-you note, maybe a small little gift of gratitude
- A quick video message instead of a generic email
- A small, unexpected bonus that makes their day
- Creating the WOW Factor with your clients?
- Ask yourself: How can I make this feel special?
Think about your client journey. The process you've outlined and the steps they will follow. What is one thing you can add this month that would be a kind and thoughtful touch. This doesn't have to be a big thing. Just something extra that makes them feel seen and heard in a very real way.
4. The Last Impression— and beyond
This is where I learned early on in my business that I could make a really powerful impact, because sadly many web designers simply launch a website and say good-bye. There is no celebration, or "job well done." moment. There is simply a final invoice and maybe a good luck.
The missed opportunity here is that the client experience doesn't come to an end just because the project is completed. How things go from here on out matter, and you have the power to make sure things go well.
If you really want to build client relationships that last I encourage you to keep the door open by staying connected. Again don't wait until you need this, build it into your normal process and fine tune it as you get better at being awesome.
Ask yourself: How do I make sure clients still feel valued even after our work is done?
- How do you celebrate when the work is all done? This doesn't have to be extravagant, just on brand.
- Do you have a maintenance phase, or some post-project process that you can build in automatically.
- Are you following up after a few months to check in?
- Are you making it easy for them to refer you?
- Do they know how to work with you again if they need to?
Making yourself even more unforgettable...
- Send some personalized love and gratitude as soon as things are wrapping up.
- Continue to follow up in the coming weeks to check-in and see how things are going
- Offer a post project check-in meeting so you have time to personally chat about how things are going.
- Create a referral system that makes it easy (and rewarding) for them to send people your way.
- Keep engaging with them on social media—don’t just disappear once the invoice is paid.
The Takeaway:
People may come to you for your service, but they stay (and rave about you) because of their experience. The businesses that thrive are the ones that make their clients feel:
